What you agree to when you book a pilot or a plan · last updated 16 October 2026
The short version. You send us your grant agreement or contract, the approved budget and the figures for the period. We prepare the report pack and you check and submit it. We do not give legal, tax or financial advice and we never submit anything for you. The pilot is a one-off fixed price; monthly plans run month to month and you can cancel at the end of any month. What you can claim from us is capped at what you have paid us.
Who you are contracting with
Christian Burkardt, trading as Steadycroft, Oklahomastraße 25, 66482 Zweibrücken, Germany · info@steadycroft.com. “We” and “us” mean that person; “you” means the organisation that books the service. The service is for organisations only — charities, CIOs and similar bodies — not for private individuals.
What we deliver
For each report we agree with you, we return a report pack in the funder's or commissioner's format: spend reconciled line by line against the approved budget with variances shown, draft explanations for those variances based on your figures, outputs and outcomes set against plan from the numbers you give us, the funder's template filled in, the annexes it asks for listed and checked, and a short list of open points. Delivered as Word and PDF.
- Pilot: one funder, one report, delivered within five working days of receiving complete documents.
- Standard plan: up to three funders, ongoing; each pack with you five working days before its deadline.
- Full plan: up to eight funders, plus a deadline calendar across them.
Working days are Monday to Friday, excluding public holidays in England.
What we do not do
- Give legal, tax, financial or accounting advice, or audit your accounts.
- Sign, approve or submit anything to a funder or commissioner on your behalf.
- Judge what your project achieved or write your impact story — we work from the facts and figures you give us.
- Guarantee that a funder accepts a report. The funder decides; we make sure the pack is complete, consistent and on time.
Where your figures and our pack disagree, your figures and the funder's agreement govern. Anything unclear comes back to you as a question; we do not guess.
What you are responsible for
- Sending complete documents in time — for monthly plans at least ten working days before a deadline.
- The accuracy of the figures and facts you give us.
- Checking the pack before you submit it. Submission is your decision.
- That you may share the documents with us under your own rules and your agreements with funders.
Our promise
On a monthly plan, if a pack is not with you five working days before the funder's deadline, that month is free — provided your documents reached us ten working days before the deadline. We do this by not charging the next month. Cancelling and refunds are set out on the refunds page.
Prices and payment
Pilot £290 once; Standard £490 a month; Full £950 a month. Prices are in pounds sterling. We are a small business under § 19 of the German VAT Act (UStG) and charge no VAT. The pilot is paid in advance by card or by bank transfer against our invoice; monthly plans are charged monthly in advance. Payments are processed by our payment provider Stripe. We may change prices for future months; you will be told at least one month before and may cancel before the change applies.
Cancelling a monthly plan
There is no minimum term. Cancel by email at any time; the plan ends at the end of the month you have paid for and is not charged again. Packs already due in that month are still delivered.
Your documents and confidentiality
We use your documents only to prepare your reports, keep them confidential, and delete or return them within 30 days of the work ending. For the personal data in them, you are the controller and we act as your processor; the privacy notice sets out how, and forms part of these terms. We can sign your own data processing agreement. You keep every right in your documents and in the packs we produce for you.
Liability
We are liable without limit for intent and gross negligence, for injury to life, body or health, and wherever the law does not allow a limit. For ordinary negligence we are liable only for breach of an obligation essential to the contract and only for the damage typically foreseeable in such a contract. In any event our total liability is limited to the fees you have paid us in the twelve months before the event. We are not liable for indirect loss, lost profit or lost funding, or for loss arising because a pack was submitted without being checked.
Ending the agreement
Either of us may end a monthly plan at the end of a paid month. We may end it at once if documents are sent that you had no right to share, or if payment fails and is not settled after we have asked.
Governing law
German law applies, excluding its conflict-of-laws rules and the UN Convention on Contracts for the International Sale of Goods. The place of jurisdiction is Zweibrücken, Germany. If a provision here turns out to be invalid, the rest stays in force.
Questions
One email to info@steadycroft.com reaches a person. If something here does not match what we actually did for you, tell us — we would rather fix it than argue about it.
